Mô tả công việc
Duties and responsibilities:
I. Admin-HR
• Organize and maintain personnel records
• Update internal databases (e.g. record annual, unpaid, sick or maternity leave)
• Prepare HR documents, like employment contracts and new hire guides
• Process new starters, including preparing offer documentation and updating relevant databases
• Revise company policies
• Answer employees' queries about HR-related issues
• Conduct monthly payroll
• Arrange travel accommodations and process expense forms
• Participate in HR projects (if any)
• Produce daily/weekly/monthly reports and summaries of work, as requested by the Managers
• Manage telephones and express delivery
• Manage site office stationery and drinking water supplies
II. Document control
• Create systems to manage project documents
• Ensure that all documents are up to date
• Check for accuracy and edit document files
• Create templates for future uses
• Maintain confidentiality around sensitive information and terms of agreement
• Train employees on how to use and access the documents on NAS server
• Develop procedures so that they are standardized
• Communicate and collaborate with project manager, site manager and departments managers
• Specifically:
- In charge of Document Controller system and procedure
- Control all incoming and outgoing document of Construction team, HSE team, QA/QA team, MEP team, Design team, QS team (including: contract, addendum, contract liquidation, official letter, site instruction ...)
- Collect, scan and upload it in NAS server, store documents and sort it by hard file
- Provide all documents following Auditor's request
- Control outgoing letters (clients and subcontractors) & update in NAS server
III. Planning
• Respond to emails on behalf of the construction departments.
• Check Official letters, Site Instruction of all departments as requested by each department manager.
• Coordinate with Accounting and QS department regarding construction/safety department supplies ordering and payment
• Confirm quantity and make payment for indirect work supplier/subcontractor
• Find new indirect work supplier/subcontractor, gather/compare quotations, draft contract/liquidation
• Assist and participate in monthly transfer fund budgeting
• Track/follow monthly costs and report to the manager
• Other duties as required.
Yêu cầu công việc
• University Degree in related majors.
• Good communication English skills due to working with foreign managers.
• Strong computer skills in Microsoft Office especially Excel.
• Very detail-oriented.
• Active, hardworking, enthusiastic, and networking with people.
• Ability to work in team as well as independently.
• Great organization and time management skills.
