Job description
Principal Accountabilities
1. Payroll management:
• Process payroll timely, accurately, and ensure compliance with relevant regulations and internal guidelines.
• Ensure all employee information is up-to-date and correct.
• Produce and prepare payroll/headcount reports as required.
• Maintain detailed and accurate attendance logs for all employees.
• Handle all questions and concerns from employees regarding C&B payments.
• Participate in other C&B assignments and HR projects as needed.
2. Personal Income Tax (PIT) management: (included but not limited to) complete monthly PIT declaration report to Tax Dept; perform PIT finalization on a yearly basis.
3. Social, Health, and Unemployment insurances management: (included but not limited to) any updates with full cycle from registration for new employees to closing for leavers.
4. Labor book & statutory reports management:
• Prepare and manage all mandatory labor reports.
• Ensure compliance with all labor regulations and maintain accurate labor books.
• Update/manage Labor Internal Regulations or Collective Agreements as required.
5. Labor contract management:
• Update labor contracts as required to reflect any changes in company policies or labor laws.
• Create annexes to labor contracts when needed to address specific terms, amendments, or additional agreements.
• Prepare and manage contract renewal process as requirements.
• Ensure accurate and secure keeping of all labor contracts and employee related documents.
6. HR system and employee profile management:
• Ensure that all employee data is accurate and up-to-date.
• Maintain comprehensive records and personnel files for all employees.
• Maintain off-boarding policies and procedures.
7. Benefits administration: (included but not limited to) private healthcare programs, annual medical checkups, free products and company specific benefits.
8. Preparation of C&B related reports:
• Prepare regular C&B-related reports, including monthly, quarterly, and annual summaries.
• Ensure reports are comprehensive, accurate, and submitted in a timely manner.
• Prepare ad-hoc reports as required.
Job requirements
Qualification and Experience
• Bachelor’s Degree in relevant field
• At least 6 years of hands-on C&B experience, ideally within companies with a size of 400-500 headcounts.
• Strong understanding & knowledge of Vietnam labor market, labor law, PIT law, Social Insurance Law and other related regulations.
• Experience in using payroll software.
Skill Sets & Personal Attributes
• Good level of English proficiency.
• Good command of Microsoft office (especially Excel).
• Strong analytical and problem-solving abilities.
• Customer service mindset, mature, careful, and result-oriented.
• Communication and interpersonal skills.
