Senior Assistant To Group Chief Executive Officer

Overview
The Senior Assistant ("SA") to Group Chief Executive Officer ("GCEO") is responsible for providing strategic support and guidance to the GCEO. GCEO SA is tasked with managing and overseeing the day-to-day operations of the GCEO's Office, coordinating the GCEO's schedule, and provide assistance with high-level decision making. GCEO SA must have exceptional communication skills, be detail-oriented, have a strong ability to multitask in a fast-paced environment, and be able to represent the GCEO in meetings with senior executives, clients, and stakeholders.
Responsibility
1. Business Plan & GCEO KPI
- Participates in BP preparation team, ensure the BP will be approved on time according to BOD resolution.
- Assist GCEO to draft the annual GCEO KPI & Coordinate with BOD Office to get the GCEO KPI Approved.
- Assist GCEO to cascade the GCEO KPI to Division / BU Heads & monitor its implementation.
2. Coordination & Administration works:
2.1. Coordination:
2.1.1. Board of Directors ("BOD"):
- Coordinate and facilitate communication between GCEO and BOD (including but not limited to Executives Directors, Board Members, Sub-committees) and other stakeholders.
2.1.2. Board of Management ("BOM"):
- Operations: Provide high-level strategic support to the GCEO, including research, analysis, and presentation of key information. Coordinate with other senior executives to ensure alignment with the GCEO's vision and goals, ensuring open lines of communication and timely follow-up on action items.
- Standardization: Participate in initiatives to improve the quality and effectiveness of (back-office) SOPs: Collaborate with COE and other cross-functional teams to identify areas that require SOPs, drafting and reviewing SOPs, training staff on SOPs, and conducting audits to ensure adherence to SOPs.
- Compliance: Work with managers to identify and address non-compliance issues and ensure corrective actions are taken.
2.1.3. GCEO Office:
- Operations: Support GCEO & Chief of GCEO Office to manage the daily operations of the GCEO's office, including scheduling, travel arrangements, and communication with internal and external stakeholders. Prepare and deliver presentations, reports, and other materials as needed by the GCEO.
- Standardization: Develop, implement, and review SOPs and templates of GCEO Office to ensure they are consistent with regulatory requirements, industry standards, and NLG's policies.
2.1.4. Special projects:
- Manage special projects / teams (Annual Report, etc.) assigned by GCEO and Chief of GCEO Office
2.2 Charter of Authority ("COA") /Company Council
- Check and verify document to be signed by GCEO follow approved Charters of Authority / Company Council Lists.
- Propose updates / improvements to Charter(s) of Authorities / Company Council List(s) when necessary.
3. Support GCEO in daily operational activities
- Prepare/ Coordinate BOD meetings & the Board’ Sub-Committees Meeting Presentations – according to BOD Office request.
- Ensure the GCEO is prepared for all meetings by providing necessary background information, documents, and other materials.
- Follow-up BOD meetings & the Board’ Sub-Committees meetings.
- Monitor implementation progress of BOD Resolutions & other commitments from BOM to BOD, EDs & sub-committees.
Job requirements
Background / Experience:
- Graduated from University of Project Management / Civil Engineering / Architect / Business Administration / Finance or equivalent (Bachelor's Degree or postgraduate)
Minimum required working experience, industry specific experience to perform the job:
- At least 4-5 years of similar working experience in major corporations/listed companies
- Experience or qualifications of Finance/ Project Management / Project Development.
- Having experience and knowledge in real estate industry / finance / investment preferable.
Language ability:
- Advanced English skills (listening – speaking – reading – writing), minimum IELTS 7.0 or equivalent.
Computer using ability:
- Highly proficient in Microsoft Office Suite (Word, Excel, Power Point, etc.).

- Ability to work proactively & independently, from conception to completion, and work under pressure at times to handle a wide variety of activities and confidential matters with discretion, with minimal supervision.
- Strong organizational, analytical, and problem-solving skills

- Strong project management skills, with the ability to manage multiple projects and deadlines simultaneously.
- Demonstrated ability to work independently and as part of a team.
