Job description
1. Job Summary
- Responsible for maintaining timely and effective operation support to a sales team, unit, or department; but is not limited to all aspects related to regular works so that sales team have more time for field works and develop new business.
2 Key Duties & Responsibilities
- Managing the correspondence between Sales Team and their Distributors.
- Supporting the Sales Team and Distributors to link with the operation and back-office team.
- Develop tools for sales data analyst to support line manager’s final decision.
3. Key Activities/ Tasks
3.1 Supervising Operation team to ensure the whole process is handled smoothly by receiving and analysing inquiries from Sales team/ customers:
• Manage ambitious agreed target and share objectives on a monthly, quarterly, and annual basis to achieve KPI’s.
• Ensure accurate compilation and related reporting of operational and financial information about the customers.
• Double check sales orders from sales team or customer then coordinate with Sales Admin to proceed those orders.
• Proactively noticing Sales team of any potential opportunities, potential customers, any problems likely to affect customer relationship.
• Communicating with customers on Sales team’s behalf (shipment status update, dealing with claims, payment process and other related issues).
3.2 Support for Line Manager:
• Process and analyse statistical data of products to collate key themes and trends, to make full market reports.
• Provide information for forecasting activities.
• Work with Line Manager to evaluate, assess the compliance of sales activities & promotions.
3.3 Support for Sales Team in general:
• Support sales create new product code, vendor code, and customer code on system.
• Support sales to compose all documents for approval, quotation, contract.
• Support sales to generate data for sales reports.
• Support sales to calculate monthly sales incentives to all sales representatives.
• Support the others works related when sales team are on field.
• Support sales to cross check Distributors commission.
3.4 Other tasks required by direct management and sales team.
4. Scope of work & accountability
- Complete the requirements according to the job description and assigned work norms.
- Ensure there are no major incidents or errors related to Sales & Marketing activities within the company.
- Regularly take care of customers to keep a good relationship.
- Abide by the internal rules and labour regulations of the Company.
5. Working relationship
- Internal:
• Business Development Manager/ Sales Supervisor/ Senior Sales Supervisor: receive and effectively implement targets, sales plan, customer care, market research and periodically report as required.
• Nation-wide sales team: receive and implement plans and reports; coordination, support, mutual assistance at work.
• Other relevant departments (e.g: Accounting Department, Supply Chain Section…): comply with professional procedures and internal rules; coordinate to perform well the work within the professional domain.
- External:
• Distributors (current & prospect): provide on-times support.
Job requirements
Age/ Gender:
• Male/ Female; aged 24 and above.
Characteristics/ Qualification/ Knowledge/ Skills:
• Graduated from business college, university, or relevance.
• Working sales experience in FMCGs industry and minimum 03 years of experiences in the same position.
• Good interpersonal skills, ability to effectively manage the relationship with other teams.
• Strong collaborative skills in working with different customer styles.
• Ability to provide sophisticated reporting and interpret complex data.
• Advanced Excel skills including pivot tables, graph design and building detailed formulas.
• Advanced data analytic skills.
