General Affairs Staff (Japanese N1 - N2)

I/ Main Tasks
• Telephone and visitor support (telephone support in Japanese and English)
• Dealing with visitors (provision of tea sweets, etc., setting up conference rooms and reception rooms, preparation of materials, cleaning up)
• Accounting (preparation of accounting books ,deposit book, monthly financial report, declaration of employee income tax ,payroll for employee ,declaration of social insurance, issuance of receipts, procedures at Internet banking and bank counters, etc.)
• Making documents and reporting documents for central banks, tax offices, fire departments, etc., basic interpretation and translation
• Purchase for goods at the office, work with vendors (including requests for quotations)
• Support for expatriate visas, work permits, etc. procedures
• Support for Business trip (reservation arrangement and coordination of airline tickets, hotels, meeting places, including those outside Vietnam)
• Support for Business meeting (summarize for participating companies, contact to participating companies and venues, reception of business meetings, request for submission of questionnaires, summarize of questionnaires, etc.)
• Contact with the head office of the Japan (telephone, mailing and receiving documents)
• Contact with Japanese financial institutions
• Research on Vietnamese company information (search for companies that meet the conditions, survey of public evaluation, etc.)
• Making list of Vietnamese companies that are candidates for matching with Japanese companies
• Contact, hearing, and visiting Vietnamese companies (solo and accompany with Japanese staff)
• Interpretation during interviews with Vietnamese companies
• Collect and compile information on the latest topics such as Vietnamese laws and regulations, industrial information, etc.
• Collection and compilation of information on the latest topics such as laws and regulations of the countries under jurisdiction (Philippines, Indonesia, Laos, Cambodia), industrial information, etc.
• Preparation of materials (aggregation, diagrams, database creation)

II. Requirement
• Must have:
+ Work experience of Japanese company as a secretary, general affairs for 3 years
+ Japanese skill equals to Japanese test (Level N1 or N2)
+ English skill of daily conversation
+ Computer Skill (Microsoft Word, Excel)
+ High communication skill
• Nice to have:
+ Work experience of financial companies
+ Work experience of representative office
+ Accounting knowledge, Work experience as account staff
+ Study abroad or Work experience in Japan
+ Having Japanese and English qualification
