Summary of Position
Under general supervision, performs a wide variety of business and operational duties and activities in providing efficient support to the Head of Country (HoC) - Vietnam.
Duties and Responsibilities
• Support HoC with Public Affairs, International Cooperations, and Sustainability agendas, including but not limited to strategic development, partnership engagement, and implementation.
• Arrange and manage HoC's schedules for business meetings, appointments and public speaking engagements. Manage HoC's complex travel itineraries and arrangements across time zones.
• Plan and execute Community Impact programmes, in line with the company's purpose and sustainability priorities, and the United Nations Sustainable Development Goals (UN SDGs).
• Support HoC in driving Employee Engagement initiatives and joint activities.
• Support HoC with Corporate Governance matters; liaise with the Board of Directors and facilitate all the issues involving the Directors of the company, as well as providing administrative support for governance meetings.
• Support organisation and execution of special visits (Government, VIP, etc.)
• Organise, coordinate and support meetings and corporate events.
• Maintain sensitive and confidential information at all times.
• Draft letters, reports as well as taking concise minutes/notes of meetings for proper dissemination, with follow ups as needed.
• Work with the Office Manager to ensure all documents and reports are submitted on time and maintain a proper paper and electronic filing system.
• Coordinate and perform routine business and operations activities, including supporting other business lines as needed.
• Establish good communication channels and relationships with relevant internal and external stakeholders.
Job requirements
* Essential
- Minimum university degree in any relevant field
- Minimum 7 years of experience in multi-national companies
- Excellent communicator in both Vietnamese and English skills, articulate and persuasive
- Possess high level of energy, intelligence and integrity
- Discretion in dealing with confidential matters; Attention to details
- Ability to identify issues, develop logical conclusions and prioritise pragmatic and compliant solutions
- Strong Microsoft office skills (PowerPoint, Excel...) and Google Workspace
- Ability to learn, to adapt and to cope with pressure
- Excellent team player with good interpersonal and communication skills to function effectively in a multi-cultural environment
* Desirable
- Proven experience in managing daily operation business and administrative tasks
