Overview:
Assistant to Deputy MD NLL is responsible for organizing, coordinating, and monitoring the progress and quality of administrative and secretarial tasks, as well as assisting in communications with internal teams and external stakeholders to ensure that the execution is smooth, effective and timely.
Responsibility:
1. Administrative tasks supporting the Deputy MD NLL’s schedule management and meetings
- Assist in arranging the Deputy MD NLL's daily meeting and work schedule.
- Arrange meeting rooms, including the preparation of agendas, equipment, materials, meeting minutes and follow-up on action items.
- Organize travel arrangements and itineraries for the Deputy MD, including transportation, accommodation, and logistics.
- Directly interpret and translate in the meeting and documents from Vietnamese to English or vice versa (if needed)
- Coordinate and assist in organizing company events assigned by the Deputy MD NLL.
2. Administrative tasks supporting the MD Office in the role of Secretary
- Manage office operations (planning and purchasing office supplies, distributing meal vouchers, phone cards, IT equipment, etc.) according to company policies.
- Arrange meeting schedules for MCM meeting, Project review meeting (type A, B, C), BOM NLL meeting and assist in preparing meeting materials.
- Draft and translate official correspondence and notices from the MD Office.
- Record attendance.
3. Coordination and Tracking of documents for signature
- Organize, coordinate, track, and remind relevant departments to execute requests from the Deputy MD NLL to control the progress and quality of assigned tasks.
- Control and submit documents for signature in accordance with the authorization scope and the signing authority matrix between Executive Director and BOD’s Office.
- Prioritize documents for signature to ensure accuracy and compliance with company regulations before submitting them to the Deputy MD NLL.
- Store data and records in an organized and compliant manner to ensure efficient access, retrieval, and high information security.
4. Compliance & Reporting
- Ensure that processes comply with company policies and regulations.
- Prepare and submit periodic reports to the Deputy MD on work status and challenges.
Yêu cầu công việc
- Bachelor’s degree in administration, business management, or related fields.
- 2-3 years of experience working and at least 1 years of experience in a secretarial/assistant position for senior management.
- Experience in office operations, management, and coordination.
- Proficient in English (mandatory).
