As an Administrative Assistant, you will support various administrative tasks to ensure the smooth operation of our office.
Your responsibilities will include, but are not limited to:
- Assisting with daily office operations and maintaining office supplies,
- Assisting with basic accounting tasks and liaising with our external accounting firm,
- Coordinating office events and meetings,
- Maintaining organized records and filing systems,
- Providing support to the Operations Manager and other team members,
- Assisting with travel planning, including air tickets, accommodations, agendas, payment reports, and scheduling,
- Prioritizing and managing multiple projects simultaneously, ensuring timely follow-through on issues,
- Preparing files, reports, correspondence, and other relevant business documentation,
- Supporting the Operations Manager and other employees with procedures and processes, including work permits, visas, and residency permits,
- Collaborating with other departments to complete common tasks,
- Maintaining contact with Vietnamese suppliers and international customers, ensuring the transfer of all necessary information,
- Visiting and auditing suppliers in Vietnam and accompanying our team during inspections to familiarize yourself with the seafood industry,
- Liaising with VASEP (Vietnamese Association of Seafood Exporters), NAFIQAD (National Agro-Forestry-Fisheries Quality Assurance Department), and local authorities

Working hours:
Our working hours are flexible, with the expectation that you are available when needed. Here is the general schedule:
- Monday to Friday: 9:00 am to 6:00 pm, with a 2-hour break in the middle
- Saturday mornings: Occasionally, you will check your email from home and come in only if needed
- Vacation: As per Vietnam regulations
Yêu cầu công việc
We are looking for a motivated and detail-oriented individual to join our team.
The ideal candidate will have the following qualifications and skills:
- Bachelor's degree or equivalent in a relevant field
- Previous experience in an administrative role preferred,
- Strong organizational and time management skills,
- Excellent communication and interpersonal skills, with fluency in both verbal and written Vietnamese and English,
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook),
- Ability to work independently and as part of a team,
- Attention to detail and problem-solving skills,
- Excellent organizational skills for filing, note-taking, travel planning, expense report management, processing invoice payments, and meeting scheduling,
- Strong administrative skills with the ability to handle difficult or stressful situations with tact and diplomacy,
- Commitment to long-term employment with the company,
- Experience in a foreign company is an advantage,
