Admin Specialist
Job description
Main duties:
• Office Management:
- Supervise daily office operations, ensuring cleanliness, organization,
and maintenance of office facilities.
- Oversee office supplies inventory, procurement, and management
to ensure continuous availability of essentials.
- Coordinate with vendors for repairs, maintenance, and servicing of
office equipment, furniture, and facilities.
- In charge of renovating, maintaining and repairing items at common
areas (toilet, meeting room, canteen, locker’s room, parking lot,
security guard room, office …)
• Security & Safety:
- Manage building security, ensuring all protocols are followed,
including the maintenance of access control systems, CCTV, and
emergency procedures.
- Implement and manage health and safety programs to comply with
local regulations and ensure the well-being of employees.
• Event & Travel Coordination:
- Oversee the planning and execution of company events, meetings,
and gatherings, ensuring all logistics are in place.
- Manage travel arrangements and accommodations for employees,
ensuring cost-effectiveness and compliance with company policies.
• Visa & Work Permit Management:
- Prepare and manage the processes related to visa applications,
renewals, and work permits for foreign employees.
- Liaise with government authorities and legal teams to ensure
compliance with immigration regulations and timely processing of
documents.

Job requirements
• Education: Bachelor’s degree in business administration, Management, or a related field.
• Experience: Minimum of 2 years of experience in general affairs, administration, or facility management.
• English: fluent
• Skills:
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• Proficiency in MS Office Suite (Word, Excel, PowerPoint).
• Ability to handle confidential information with discretion.
• Problem-solving abilities and proactive mindset.
